Fiscal Assistant
POSITION OBJECTIVE: The Fiscal Assistant is charged with account maintenance, financial transaction processing, procurement, and payroll as it relates to time and attendance. The Fiscal Assistant will prepare, process and maintain financial documentation for reports on fiscally related activities for the Council under the supervision of the Director of Finance and Accounting.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
Reviews personnel time and attendance reports for appropriate signatories and approval ensuring accuracy and completeness within five business days for payroll preparation and processing;
Reviews vendor invoices to ensure appropriate pricing for quotes and purchase requisitions, and mathematical correctness for payment voucher preparation within three business days;
Assists Director of Finance & Accounting with the development of fiscal procedures as necessary to improve office operations;
Conduct internal audits to ensure financial controls are in place minimizing the risk of fraud and mismanagement;
Assists staff with the preparation and completion of documentation and tasks related to procurement and other fiscal matters;
Communicates with staff routinely to ensure shared understanding of programmatic and contract management procedures to assist with the coordination and processing of fiscal matters, resolution of problems, and preparation of reports;
Responds to inquiries from vendors and other outside organizations regarding procurement and fiscal matters as directed;
Compiles fiscal and statistical information as directed to assist with the preparation and completion of fiscal reports;
Prepares Finance & Accounting forms, manuals, and labels as required for recordkeeping;
Prepares and organizes fiscal information as required for the annual financial audit;
Performs other fiscal work and administrative tasks as required by the Executive Director and/or the Deputy Director.
QUALIFICATIONS:
1. Minimum Education, Training and Experience:
High School or GED diploma required. Associates degree preferred.
Course work in finance, accounting, and business subjects, and a minimum of 2 years progressively responsible office and accounting/fiscal experience, one year requiring the exercise of independent judgment.
2. Basic knowledge of accounting, procurement procedures, personnel, and payroll processing and related recordkeeping;
3. Working knowledge of office methods and procedures, including accounting/bookkeeping and related recordkeeping, files research and maintenance, statistical compilation and data processing capabilities.
4. Ability to perform accounts clerical work quickly and accurately;
5. Ability to perform duties independently in accordance with assigned schedules; ability to maintain account record system and prepare related reports;
6. Ability to analyze statistical and accounting data and analyze patterns and trends.
7. Demonstrate knowledge of paraprofessional accounting practices including interpreting accounting records or financial information for the purpose of preparing statements or reports;
8. Ability to reconcile financial accounting data and to identify and correct mathematical or posting errors.
SALARY: $55,000-$62,000/annually

PHYSICAL DEMANDS: While performing the duties of this job, the employee is regularly required to remain stationary, constantly operate a computer and other office productivity machinery such as copier/scanner, and computer printer. The person in this position frequently communicates with coworkers, funders, forensic nurse examiners, certified rape crisis program staff, and law enforcement and other allied professionals, and must be able to exchange accurate information in these situations. The person in this position needs to occasionally move about inside the workplace to access file cabinets, office equipment, etc. and may need to lift boxes of materials that weigh up to 20 lbs. This job requires the ability to travel to and from various locations within the State of Florida.
WORK ENVIRONMENT: The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. The work environment is that of a typical indoor office with windows, with some staff in the office five days/week and others working remotely some or all the time.
