Bookkeeper

POSITION OBJECTIVE: The Bookkeeper is responsible for the organization's day-to-day accounting and financial recordkeeping. This position supports accurate financial reporting, grant compliance, accounts payable, payroll processing, account reconciliations, and maintenance of accounting records. The ideal candidate is detail-oriented, organized, and experienced in nonprofit accounting and grant-funded environments.

The Bookkeeper will work closely with the Executive Director, Deputy Director, Chief Finance Officer, Director of Compliance, Director of Operations, and other staff to ensure timely, accurate financial transactions while supporting the organization's mission.

STATUS: Full time, exempt

ABOUT FCASV: The Florida Council Against Sexual Violence (FCASV) is the statewide nonprofit sexual assault coalition dedicated to supporting survivors of sexual violence and the sexual assault programs that serve them. FCASV administers significant federal and state grant funding, provides training and technical assistance, supports certified rape crisis centers, and advocates for policies that promote safe and just communities.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Accounts Payable

  • Process authorized vendor and subrecipient invoices, as well as employee reimbursement requests.

  • Verify proper approvals and coding of expenditures in alignment with the approved agency budget and federal and state award requirements.

  • Prepare and process electronic payments, ACH transactions, and, when necessary, checks.

  • Maintain vendor files, W-9s, and submit annual 1099 documentation.

  • Respond to vendor inquiries and resolve payment issues.

Cash Management and Reconciliations

  • Record and reconcile all cash transactions.

  • Perform monthly bank and credit card reconciliations.

  • Investigate and resolve discrepancies in a timely manner.

  • Assist with cash flow monitoring and reporting.

Payroll and Benefits Support

  • Process payroll information and maintain payroll records.

  • Assist with employee timekeeping and allocation reporting.

  • Support payroll-related reconciliations and benefit deductions.

  • Maintain current employee leave and payroll documentation.

Grant and Program Accounting Support

  • Track grant expenditures and assist with funding allocations consistent with the approved CFO/ED allocation plan and project narratives, and budgets.

  • Maintain supporting documentation for grant-funded activities.

  • Assist with preparation of reimbursement requests and grant financial reports.

  • Ensure expenditures are charged to the appropriate grants, programs, and cost centers in accordance, consistent with CFO guidance provided by the CFO.

General Accounting

  • Enter journal entries and maintain the general ledger.

  • Maintain current, organized electronic and hard-copy accounting records.

  • Assist with monthly and year-end close processes.

  • Support preparation of audit schedules and requested documentation.

  • Assist with annual Form 990 and audit preparation activities.

Financial Systems and Process Improvement

  • Maintain accurate accounting records within Sage 50 Quantum Accounting Software (with migration to MIP Accounting Software planned for the near future).

  • Support electronic document management and transition to paperless workflow initiatives.

  • Assist with implementation and maintenance of financial policies and procedures.

  • Identify opportunities to improve accounting processes and internal controls, improve operational efficiency, reduce errors, and support grant compliance.

QUALIFICATIONS:

Required

  • An associate degree in Accounting, Finance, Business, or related fields; equivalent experience may be considered.

  • Minimum of 3 years of bookkeeping or accounting experience.

  • Strong understanding of accounts payable, payroll, reconciliations, and general ledger accounting.

  • Proficiency in Microsoft Excel and other Microsoft Office applications.

  • Strong organizational skills and attention to detail.

  • Ability to maintain confidentiality and manage sensitive information.

  • Excellent written and verbal communication skills.

Preferred

  • Experience working in a nonprofit organization.

  • Experience with federal and state grant management and accounting.

  • Experience using Sage 50 Quantum and/or MIP Fund Accounting (Abila/MIP).

  • Experience supporting annual audits.

  • Knowledge of Uniform Guidance and grant compliance requirements.

SALARY:

  • Salary commensurate with education and experience. (Range: $55,000 - $65,000)

  • Full-Time (35-40 hours per week)
